Free Business Systems Assessment
An hour of your time. Clear recommendations for running the business with less effort.
It starts with a 20-minute call. Then we spend an hour with whoever runs the day to day, at your premises or online, and send you a set of recommendations, talked through with you: where the hours go, what we'd automate first, what it would take, and a fixed price if you ever want it. Nothing to pay, nothing to sign.
How it works
Three steps
Most firms we meet are running well on a mix of software, spreadsheets and people who know where everything is. The assessment is an hour spent seeing how that actually works, and a plain written answer to "what would you change, and what would it do for us".
| 1. The call, 20 minutes | Booked below, at a time you pick. We ring you, talk through what the business does and what eats the time, and arrange the assessment for a date that suits. Nothing to prepare. |
|---|---|
| 2. The assessment, one hour | With the director, the operations manager or whoever is in the thick of running the business. At your premises, or online on Teams, whichever you prefer; both cover the same ground. We follow the work from enquiry to invoice, look at what it runs on now, and ask where the time goes. |
| 3. The recommendations | Within a few working days we walk you through them, ranked by effort against payoff, and a fixed price for the first piece if you want one. No obligation either way. |
What the assessment covers
Four questions, asked about the way the business runs now rather than about software.
Where the time goes
The jobs that get typed twice, chased by hand or pieced together at month end, and roughly how many hours a week they take.
Where the money goes
Work that isn't invoiced because nobody wrote it down, kit that sits idle, subscriptions doing half a job, and the cost of a mistake made in the wrong column.
What comes off the daily workload
The routine parts that could run themselves: reminders, confirmations, reports, documents drafted from the record, paperwork checked before it reaches a person.
What your customers would notice
Faster answers, fewer calls to chase, documents that arrive without asking, and a business that looks as organised as it is.
What you get
The recommendations
A walkthrough with the person who runs the business, not a document for a software buyer. We go through it together, in four parts.
| How the work runs today | In your words, so you can see we listened and correct anything we got wrong. |
|---|---|
| Recommendations | Ranked by effort against payoff. Each one says what the problem is, what the fix is, what it would gain (hours a week, errors avoided, calls not needed) and what it would involve. |
| Where we'd start, and why | The one piece with the quickest visible change, usually something a first system can cover in weeks. |
| What happens next, if you want it to | A free business case for that first piece, with a fixed price in writing and what isn't included written as plainly as what is. No risk and no obligation whatsoever: you decide in your own time. No follow-up sales calls. |
Who it's for
Where an hour pays for itself
- Owner-run firms with somewhere between 5 and 100 people
- Any trade with jobs, kit or paperwork to keep straight
- A spreadsheet, whiteboard or package the business has outgrown
- More than one place the same fact gets typed
- Somebody who knows where everything is, and is on holiday next week
Who should be in the room
Whoever actually runs the day to day. Usually the director or the operations manager, sometimes the person on the desk who makes it all work. An hour with them is worth more than a morning with anybody else.
Nothing to prepare. We'll ask to see the screens and the sheets you already use, as they are.
Honest answers
- Is there a catch?
- No. The hour and the recommendations are free and there's nothing to sign. We do it because most of our work starts this way, and because a firm that has seen how it runs on paper is a better customer if it does come to a project.
- What do you need from us?
- An hour with the right person, and permission to look at the screens and spreadsheets you already use. We don't take copies of customer data. Anything we see stays between us, and we're Cyber Essentials certified.
- Will you try to sell us something?
- The assessment ends with a fixed price for the first piece, if there is one worth doing, because people ask. After that it's up to you. No follow-up sales calls, no chasing. If we don't think software would help, we say so.
- What if we already have software?
- Most firms do. The assessment usually finds the work that happens beside it: the sheet, the diary, the chasing. The recommendations tend to be about joining up what you've got and taking the hand-work out, not replacing anything that already does its job.
