Questions

Questions about bespoke software, answered plainly

The questions people ask us before they commit, and a few they ask afterwards. Grouped so you can go straight to the part that matters to you. If yours isn't here, ring and ask it. We'd rather answer a question than have you guess.

01

Cost and time

What it costs, how the price is set, and how much of your week it takes. The order it all happens in is on how we work.

How much does it cost?

Every project has a fixed price, agreed in writing before work starts. We look at what you need first rather than quoting from a description, so the price fits the job. We won't come back asking for more because something turned out harder than expected. After a free 20-minute intro call we'll give you a clear sense of whether it's a small project or a larger one, so you can decide before anyone spends time on a detailed quote. Ongoing hosting and support is a fixed monthly fee, agreed at the same time.

How long does it take?

A first system is usually a few weeks rather than months. If we think something will take longer, we'll tell you before you've committed to anything.

What if we only need something small?

That's a good place to start. A single system that does one job well goes live quickly, and can grow from there.

How much of our time will it take?

Less than people expect. Usually the intro call, an hour or two to walk us through how the work moves, a review session with your own data, and training before go-live. We do the rest.

Do we need to buy any software or servers?

No. We host the system for you in the UK, so there is no server in your office and nothing to renew. Your team logs in from the computers, phones and tablets they already have. The hosting is part of the monthly fee rather than a separate bill from somebody else.

What if our needs change halfway through?

Tell us, because it happens and it is better said early. The review with your own data is there for exactly this, while there's still time to adjust how it works. If a change takes the job outside the scope we agreed, we'll say so before we do it, not after, and agree it with you in writing. The fixed price stays fixed for everything that was in it.

02

Working with us

Who you deal with, where we are, and what you see before you commit. More on the company is on the about page.

Where are you based?

Bury, Greater Manchester. We work with businesses across Manchester, Lancashire, Cheshire, Yorkshire and the rest of the UK. Most of our work happens over video calls, and we're happy to visit when it helps.

Do you work outside the north west?

Yes. Most of a project runs over video calls and screen sharing, so distance makes little difference to how it goes. Training can be done remotely or on site, and we'll visit when being in the room is genuinely useful. There's more on how that works on our north west page.

We're not very technical. Is that a problem?

Not at all. The people who'll use the system have a say in how it works before it goes live, and everyone is trained before launch.

Can we see it before we commit?

Before you commit to the build, you get a fixed price in writing with the scope and dates on it, so you know exactly what you're agreeing to. Before you commit to using it, you review the real system with your own data while there's still time to change how it works. Nothing goes live until you've seen it working. Your current way of working carries on until the new system has proved itself.

What happens if something happens to you?

It's a fair question, and we'd ask it too. Every system is documented as we go, hosted on mainstream UK infrastructure rather than anything of our own making, and backed up every night to a separate location. Your data can be exported in a standard format whenever you ask, and we'll show you how on day one.

03

The system itself

What bespoke means in practice, and how it fits with what you already run. The kinds of system we build are on the services page.

What's the difference between bespoke and off-the-shelf software?

Off-the-shelf software is built for the average business, so your team adapts to it. Bespoke software is built around how your business already works, with only the screens and steps you need. It tends to make sense when your work has a shape packaged software doesn't quite fit, or when several tools need to become one.

Can you work with the software we already use?

Usually, yes. Much of what we build connects to software a business already relies on, such as accounts and payroll, so figures are entered once rather than twice.

Can it send text messages and WhatsApp?

Yes. Messages go out from the job or case record, with the details filled in from it, and replies land back on the same record where the whole team can see them. Consent and opt-outs are recorded and respected. The detail is on customer messaging.

Can it connect to our accounts package?

Usually. If your accounts package has an interface or an export, a finished job can raise its invoice there with the customer, the lines and the references already filled in, so nobody types the same figures twice. We check what your package allows before the price is fixed rather than after. The detail is on joining up what you already run.

Will it work on our old PCs and tablets?

Almost certainly. The office system is web based, so it runs in a modern browser on the computers, laptops and tablets you already have, with nothing to install on them. If a machine is too old to run a current browser, we'll find that out during the review and tell you, rather than on the day you go live.

Can you add AI to our system?

Yes, where it saves time. We build AI features into the systems we make for the routine parts of the work: answering website chats and phone calls, drafting quotes, letters and reports from the data already held, reading emails and documents into the right record, and checking paperwork against the job. If we built your system, it's an addition rather than a rebuild. The detail is on AI and automation.

Will AI make decisions on its own?

Only where you want it to. Routine steps, such as filing a document against a job, can run by themselves. Anything that goes to a customer, sets a price or changes something important is drafted for a person to approve, and every step is recorded.

04

Data, security and hosting

Where your data lives, who can see it, and how you get it out. What the monthly covers is on hosting and support.

Is our data secure?

Your data is hosted in the UK, backed up nightly to a separate location and never shared. We're Cyber Essentials certified, work under a written data processing agreement, and can send our processor terms and sub-processor list on request. Your data can be exported in a standard format whenever you ask.

Who owns the data?

You do. Your data is yours, and you can have a full export in a standard format whenever you ask, including on the day you leave. We won't hold it back against an invoice. Where the system holds personal data, we process it on your behalf under a written agreement and you remain the controller.

What happens if the system goes down?

We check it every few minutes, so we usually know about a problem before you do, and you ring the team that built it rather than a call centre. If data ever had to be restored, there is a nightly backup kept somewhere other than the machine running the system, going back thirty days.

Is our data used to train AI?

No. Where a feature in your system uses an AI provider, we choose providers that don't train their models on the data sent to them, under written terms, and we name the provider to you before anything is switched on. Your system and its records stay hosted in the UK.

05

Mobile apps

For the people out on the road or on site. The full picture is on mobile app development.

Do you build mobile apps as well as web systems?

Yes. We build apps for iPhone and Android, published to the App Store and Google Play and connected to the same system your office uses. Where a mobile web app will do the job just as well, we'll recommend it.

Will the app work where there's no signal?

It can be built to. What gets entered is held on the phone and sent once the signal comes back, and the app shows it's waiting rather than pretending it has gone. How long it needs to cope without a connection is agreed at the start, because it changes the size of the build.

Will our staff need new phones?

No. The app runs on the iPhone or Android phone they already carry. Some firms would rather issue company phones to keep work and personal apart, and that works just as well.

06

After go-live

The part most people forget to ask about, and the part that lasts longest. The terms we work to are on the terms page.

Will our team actually use it?

They help shape it. The people who'll use it every day review it with real data before it goes live, and it runs alongside your current process for the first week, so nobody is forced into it overnight.

Who do we ring when something needs doing?

The team that built it, on 0161 388 2444, 8am to 6pm on weekdays and on Saturday mornings. There are no account managers and no call centre in between. Changes such as a new field, a different report or a status you actually use are part of looking after the system, where your quote allows for them.

Can you add more users or another depot later?

Yes, and the system is built expecting it. New logins, another site or another module go in as a change rather than a rebuild, and each site can see its own work while the business keeps one set of numbers. Anything larger than a small change is priced on its own and agreed before it starts. See multi-site and multi-depot operations.

Is there a contract for the monthly fee?

There is no minimum term and no notice period. Ongoing hosting and support is a fixed monthly fee, agreed up front alongside the build price, and it starts when the system goes live. It covers UK hosting, nightly backups, monitoring and support. Our terms set out how either side ends the arrangement, and if you leave, we hand you your data and help you move.
