Short, because the detail that matters goes in the written quote for your job. Where the quote and this page disagree, the quote wins.
Who you are contracting with
RCSC (NW) Ltd, company number 13125775, registered at 151 The Rock, Bury, Greater Manchester, BL9 0ND.
Quotes and price
We agree a fixed price in writing before any work starts, and that price covers the scope written down with it. If you want something outside that scope we will tell you before we do it, not after. Quotes hold for thirty days. Prices exclude VAT where it applies.
Building it
We will give you a date and keep you posted if anything moves. You will see the system working before it goes live. We need the things we ask for from you, such as your data and your decisions, to hit any date we have agreed.
The monthly fee
The monthly fee covers UK hosting, nightly backups, monitoring and support. It starts when the system goes live. There is no minimum term and no notice period. Cancel when you like and we will hand you your data.
Where your quote includes an allowance for ongoing changes, the monthly covers those as well, and the quote says what it covers. That is normally the sort of thing taking under half a day: a new field, a different report, a status you actually use. Anything larger, a new module or a second system, is a new job with its own fixed price agreed before it starts. On the fixed-scope spreadsheet build, the monthly includes small changes.
Your data and your system
Your data is yours. You can have a full export in a standard format whenever you ask, including on the day you leave, and we will not hold it hostage against an invoice. We host your system on infrastructure in the UK and back it up nightly.
Where we process personal data on your behalf, we do it under a written data processing agreement, and you remain the controller of it.
Security
We are Cyber Essentials certified, assessed independently against the government-backed scheme. Systems we host run on UK infrastructure and are backed up nightly, off the machine that runs them, and retained for thirty days. Our processor terms, backup policy and sub-processor list are available on request.
Paying
Invoices are due within 14 days unless the quote says otherwise. On a fixed price build we normally take a deposit up front and the balance when the system is live and you are happy with it.
If it goes wrong
We will fix our own defects at our own cost. We carry no liability for lost profit or indirect loss, and our total liability for any job is capped at what you have paid us for it in the preceding twelve months. Nothing here limits liability that cannot legally be limited.
Ending it
Either side can end the hosting and support arrangement at any time. If you end it, we give you your data and help you move. If we end it, we will give you reasonable notice and do the same.
Screens shown on this website
The screenshots on this website are from demonstration systems we have built to show the kinds of software we make. The firms, people, addresses, vehicles, figures and documents in them are invented. None of them show a customer's system or a customer's data, and we never publish either. Any resemblance to a real business or person is coincidental.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
