Systems we build and run
Bespoke multi-site and multi-depot systems
Different branches, different rules, different people, and one set of numbers at the end of the month. Each site sees its own work, and whoever runs the place sees all of it.
What it is, and where it fits
Where this kind of system fits
- Plant, tool and equipment hire
- Waste, skips and recycling
- Wholesale and distribution
- Builders, contractors and trades
- Manufacturing and fabrication
A multi-site system is one system that knows about places. Work belongs to a depot, people see their own, rules differ where they genuinely differ, and the group figures come off the same records without anybody consolidating anything.
It suits any operation with more than one yard, depot, branch, plant or office, including the ones that grew by acquisition and inherited somebody else's way of working.
Two sites on one system is weeks. Ten, with local pricing, local permissions and a group view, is a bigger build done the same way, and it can go live a site at a time.
What it usually grew out of
Usually a system per site, or one system and a lot of goodwill.
Each branch has its own spreadsheet, its own way of numbering jobs and its own idea of what finished means. At month end the figures get copied into a master file, and the differences are reconciled by whoever knows the history.
That is local competence with no way to add up. What a system changes is that the local way of working survives and the group still gets one number, because both come off the same records.
What it does
Work belongs somewhere
Every job, asset and document sits with a site, so a depot's screen is its own work rather than four branches deep in a list.
Local rules where they matter
Prices, hours, stages and paperwork that differ by site, held as settings rather than as four separate systems.
Transfers logged both ends
Kit, stock or a job moving between sites leaves one and arrives at the other, on the same record and with no double counting.
Permissions by site and role
Who can see and change what, decided by where somebody works and what they do, and enforced rather than trusted.
One set of group numbers
Rolled up as the work happens, so the group view and the depot view can't disagree and nobody consolidates a spreadsheet.
A new site is a setting
Opening somewhere new is configuration and training rather than another project, because the second site was expected from the start.
AI features built in where they save time work the same way at every site, such as a shared inbox sorted to the right branch, or supplier invoices checked against each site's orders. More on AI and automation.
Usually built alongside systems that join up what you already run, management reporting or asset and equipment registers. The rest are on the services page.
How it gets built, and how it gets run
| Fixed price | Scope, price and dates in writing before anything starts, with what isn't included written as plainly as what is. It doesn't move because the job turned out harder than we thought. |
|---|---|
| Timescale | The first site is weeks rather than months, and the rest follow on a timetable you set rather than all in one weekend. |
| Onboarding and training | The first site goes live properly, trained on the ground, and what we learn there is already built in by the time the second one starts. |
| Hosted in the UK | UK infrastructure, backed up nightly to somewhere that isn't the machine running it, kept thirty days, and checked every few minutes that it's up and answering. |
| Changes | A local rule, a new site, a different group figure. What that covers is agreed at the start, so nobody works it out on the day. |
Ask about our free Business Systems Assessment
An hour with whoever runs the day to day. Clear recommendations to act on.
We look at how the work actually runs and what it runs on, then send you a list of what we would change, what each change would do for the business, and what it would take. In person or online, whichever suits you. Nothing to pay, nothing to sign.

Honest answers
- Our depots all work differently.
- Most do, and the differences that are real get built in. The useful part of the conversation is separating those from the ones that are only habit, and that's worth having out loud.
- Can we roll out one site at a time?
- Usually the right way to do it. One site runs it properly, the awkward questions get answered cheaply, and the rest follow with training that's already been rehearsed.
- Who decides the group rules?
- You do, and we'll make you decide early, because it's the decision everything else rests on. Where sites genuinely need to differ, they differ.
