Systems we build and run

Bespoke quoting and pricing systems

The same numbers whoever is quoting, the margin worked out before the job is won rather than after it's gone, and old quotes where you can find them.

A new skip booking priced by container size for the postcode, with the permit and the total worked out before it is confirmed.
01

What it is, and where it fits

Where this kind of system fits

  • Manufacturing and fabrication
  • Builders, contractors and trades
  • Plant, tool and equipment hire
  • Wholesale and distribution
  • Installers, engineers and maintenance contractors

A quoting system holds your rates in one place and builds the quote from them. Materials, labour, plant and margin, added the way your business adds them, so two people pricing the same work land on the same number.

It suits anybody who prices work before doing it, whether that comes off a rate card, a schedule of rates, a drawing or a parts list.

One rate card and a tidy quote document is weeks. Pricing rules per customer, per site and per contract, with the won quote opening the job, is a bigger build done the same way.

02

What it usually grew out of

Nearly always last year's quote, saved as a copy and edited.

The prices come from a spreadsheet somebody maintains, the layout comes from a document somebody once formatted, and both get copied. Version six is on a desktop, and checking the labour rate in it is current is one more job.

Quotes go out consistent right up until two people send different numbers for the same work, or a margin turns out to have been assumed rather than worked out. Getting the rules out of the file and into a system settles both.

03

What it does

01

Rates held once

One price list, current, used by everybody who quotes. Changing a rate changes it everywhere rather than in the copies people remembered.

02

Built up, not typed up

Materials, labour, plant, subcontract and margin added by the system, with the arithmetic done the same way every time.

03

Margin in front of you

What the job makes, visible while you're pricing it rather than discovered when the invoices land.

04

Versions kept

Every revision saved with what changed and who sent it, so a customer quoting last month's figure back at you is a question with an answer.

05

The same document every time

One quote layout, your branding, produced as a PDF, whoever sent it and whatever time of night they sent it.

06

Won work becomes the job

A won quote opens the job with its lines and prices already on it, so nothing is retyped and nothing drifts.

We can also build in an AI feature that drafts the proposal from the job's own figures and the notes from the site visit, in your wording, ready for whoever is quoting to read, adjust and send. More on AI and automation.

Usually built alongside job and works trackers, stock and materials or management reporting. The rest are on the services page.

04

How it gets built, and how it gets run

Fixed price Scope, price and dates in writing before anything starts, with what isn't included written as plainly as what is. It doesn't move because the job turned out harder than we thought.
Timescale A first quoting system is weeks rather than months, with your current rates loaded as part of the build.
Onboarding and training We price a handful of real jobs alongside whoever prices them now, until the system's number and their number agree, then train everybody else.
Hosted in the UK UK infrastructure, backed up nightly to somewhere that isn't the machine running it, kept thirty days, and checked every few minutes that it's up and answering.
Changes A new rate, a different layout, another pricing rule. What that covers is agreed at the start, so nobody works it out mid-tender.

Ask about our free Business Systems Assessment

An hour with whoever runs the day to day. Clear recommendations to act on.

We look at how the work actually runs and what it runs on, then send you a list of what we would change, what each change would do for the business, and what it would take. In person or online, whichever suits you. Nothing to pay, nothing to sign.

Honest answers

01
Our pricing is genuinely complicated.
That's usually the reason to do it. Complicated rules held in one head are the risk. Written down once and applied by the system, they stop being a risk and start being worth something.
02
Can it produce our own paperwork?
Yes. The quote document is built to look like yours rather than like ours, and changing how it looks later is a change rather than a rebuild.
03
Will it replace our accounts package?
No. It prices the work and hands the won job on. Where your accounts package has an interface or an export, the invoice follows the job instead of being typed again.
