Systems we build and run

Bespoke asset and equipment registers

What you own, where it is, who signed for it, what it's worth and what's due on it. One register, kept true by the people who move the kit.

An examination register for hire equipment, listing each item, when it was last examined, when it is next due and where it is now.
01

What it is, and where it fits

Where this kind of system fits

  • Plant, tool and equipment hire
  • Builders, contractors and trades
  • Manufacturing and fabrication
  • Property, lettings and facilities
  • Transport, haulage and logistics

An asset register is one record per thing you own: serial number, value, category, where it is now and who has it. Every move is logged by whoever made it, so the register stays true without a quarterly exercise to correct it.

It suits anybody whose kit leaves the yard. Plant and tools, test and survey equipment, vehicles and trailers, fixtures in a building, tooling on a shop floor.

A few hundred items on one site is weeks. Thousands across depots, with inspections, hire charges and utilisation off the same records, is the same system carrying more.

02

What it usually grew out of

Almost always a register that was right when somebody last had time to look.

A spreadsheet four people have edited, a tag book in the stores, an insurance schedule in a drawer, and the serial numbers on a photograph somebody took. Each one holds part of the picture.

The hard part was never building the list. It's keeping it true while the kit moves, and that's the job a system does and a file can't, because the system is where the move gets recorded at the moment it happens.

03

What it does

01

One record per asset

Serial number, purchase date, value, category and current location, with a photograph so there's no argument about which one it is.

02

Who has it, since when

Signed out to a person, a van, a site or a customer, with the date and the name against it, and the trail kept.

03

Moves logged at the time

A transfer recorded by whoever made it, from their phone, rather than reported back to the office to be typed up later.

04

Dates that chase you

Service, inspection and calibration dates that turn amber before they matter and red on the day, with the responsible name against them.

05

Paperwork on the item

Certificates, manuals and test records attached to the asset, so the current certificate is findable without a search of the filing.

06

What's earning and what's idle

What's out, what's back, and what hasn't moved in six months. Enough to stop you buying a third when you already own two.

Where it saves time, we build in AI features too: a photo of a rating plate read into the asset's record, or a hire or service document checked against the item it names. More on AI and automation.

Usually built alongside compliance and inspection records, stock and materials or document and certificate stores. The rest are on the services page.

04

How it gets built, and how it gets run

Fixed price Scope, price and dates in writing before anything starts, with what isn't included written as plainly as what is. It doesn't move because the job turned out harder than we thought.
Timescale A first register is weeks rather than months, and importing what you already have is part of the build rather than a later phase.
Onboarding and training We bring the existing register across, label what needs labelling, and train the people who move the kit, because they're the ones who keep it true.
Hosted in the UK UK infrastructure, backed up nightly to somewhere that isn't the machine running it, kept thirty days, and checked every few minutes that it's up and answering.
Changes A new category, another field, a different inspection interval. What that covers is agreed at the start, so nobody works it out on the day.

Ask about our free Business Systems Assessment

An hour with whoever runs the day to day. Clear recommendations to act on.

We look at how the work actually runs and what it runs on, then send you a list of what we would change, what each change would do for the business, and what it would take. In person or online, whichever suits you. Nothing to pay, nothing to sign.

Honest answers

01
We've got thousands of rows already.
Good. That's the opening register, and bringing it across is part of the build. We'll tell you what imports cleanly and what needs a hand first, before you commit to anything.
02
Do we need barcode scanners?
Not to start. A phone camera reads a printed QR label perfectly well and the labels cost very little. Proper scanners fit the same system when the volume justifies them.
03
Does it handle depreciation?
It holds the figures and shows the book value on the basis you've told it to use. What it won't do is decide the treatment: that stays with your accountant, and we'd rather feed them numbers than guess.

Talk to us

Tell us roughly how many items you're keeping track of and how they move about. That's usually enough for us to say whether we can help.
