Systems we build and run
The systems we build
The kinds of operational system we build most often, each with a page of its own. They are examples rather than a menu: if it runs a business, we can build it. None of them are products. Each one gets built for the business that needed it, with AI features added where they save time, hosted in the UK, and looked after for as long as you keep it.
The systems we build most often
Job and works trackers
Every job from enquiry to invoice, with its stage, its owner and its history.
Scheduling and run sheets
Who's doing what, where and in what order, on a phone for the people out doing it.
Asset and equipment registers
What you own, where it is, who signed for it, and what's due on it next.
Compliance and inspection records
Checks and certificates that chase you, and an auditor's list without a fortnight's notice.
Quotes and pricing
The same numbers whoever is quoting, with the margin worked out before the job is won.
Document and certificate stores
Filed against the job or the asset it belongs to, and findable three years later.
Customer and supplier portals
Their own jobs, documents and history, without anybody ringing the office to ask.
Timesheets and sign-offs
Hours against real jobs, approved once, and out in the format payroll wants.
Systems that join up what you already run
Accounts, payroll, the weighbridge. Where there's an interface, figures stop being typed twice.
Multi-site and multi-depot operations
Each site sees its own work, and the group gets one set of numbers.
Case and matter management
A file from first contact to closure, with its stages, its parties, its documents and an audit trail.
Customer messaging
Texts, WhatsApp and email sent from the record, with the replies landing back on it.
Forms, e-signatures and generated documents
Forms built for the work, documents generated from the record, signed on any device and filed back.
These are where most people start, not the limit. If what you need is bigger than anything here, that is a conversation worth having. For people out on the road or on site, there is mobile app development for iPhone and Android, joined to whichever of these runs the office. And for the building itself, there are bespoke control systems for homes and offices: air conditioning, multi-room audio and smart devices on one screen. Any of them can have AI and automation built in where it saves time: website chat, calls answered, quotes and documents drafted from your own data, and paperwork checked against the job.
How any of them gets built
Where this kind of system fits
- Builders, contractors and trades
- Field service and engineering
- Legal, claims and professional services
- Plant, tool and equipment hire
- Waste, skips and recycling
- Transport, haulage and logistics
- Manufacturing and fabrication
- Property and lettings
Or anything with jobs, assets or records to keep straight, which is most of them.
The work has a shape rather than a size. Something the business can't trade without moves into a system with logins, history and backups, and somebody looks after it.
Every one of them is bought the same way. We look at the job first, then you get a fixed price in writing with dates on it, and what isn't included written down as plainly as what is. A first system is usually weeks rather than months. Anything bigger goes live in pieces, so the useful part arrives early instead of everything arriving at the end.
Then we run it. Hosted in the UK, backed up nightly to somewhere that isn't the machine running it and kept thirty days, checked every few minutes that it's up, patched, and changed as the business changes. What that covers is agreed with you at the start rather than worked out on the day you need something.
The order it happens in is set out under how we work, and what running it actually means is on hosting and support.
By sector. Some trades keep the same records as each other, so they get a page of their own: skip hire and waste carriers, plant, tool and welfare hire, haulage, food and drink producers, wedding and event venues, letting and property management agents, construction and trades, manufacturing and fabrication, field service and engineering, legal and claims firms, aesthetics clinics and salons, and debt management and IVA firms.
Talk to us
Tell us what you'd like to keep track of, and how you'd want it to work. That's usually enough for us to say whether we can help. Wanting it quicker or tidier is reason enough.
Ring, 8am to 6pm Monday to Friday and Saturday mornings, or use the form below. Pick what you'd like to keep track of, add a line if you want to, and leave a name and a way to reach you.
